End-of-life Roadmap: DocumentBuilder to replace old technology
The new DocumentBuilder will now be the only way to set up document templates in newly installed systems. This is an important milestone, as it means we are one step closer to establishing the DocumentBuilder as the standard for all systems.
In this context, we would like to inform you about the EOL roadmap at an early stage so that you have enough time to prepare for the changeover of existing systems.
Please read the following points carefully, because if you are not yet using DocumentBuilder for all your document templates, you need to take action.
Timetable for the changeover
The changeover will take place gradually. This means that you do not have to switch all document types at once – but you can do so if you wish.
The respective document types will be switched to the DocumentBuilder on the specified date. By then, you must have created a template for the document types with the DocumentBuilder, otherwise it may no longer be possible to create documents of this type (see below for more information).
We will send out reminders some time before the changeover dates.
Changeover dates (stable) & Document types:
15th February 2024 - Reorder, PO delivery note, Delivery note, Order confirmation
14th March 2024 - Pick-up delivery, Offer, Repair slip, Return slip, Entry certificate
11th April 2024 - Pro forma invoice, Dunning letter, Reversal dunning letter, Adjustment form
9th May 2024 - Multi credit note, Multi-invoice, Credit note, Reversal credit note, Invoice, Reversal invoice
The dates refer to the changeover of systems in stable. Systems in early will be switched one week earlier and systems in beta will be switched two weeks before the specified date.
What do you have to do?
Create one or more templates for the respective document types in DocumentBuilder by the specified date at the latest!
There are default templates for tax-relevant documents (e.g. credit note or invoice). These cannot be deleted and are always active because they also serve as the last fallback. This means that if you do not create your own template for your invoices, for example, this default template will be used when creating documents from 9 May.
If there is no default template (e.g. for a reorder or delivery note) and you have not created your own template, these documents can no longer be created from the changeover date.
You can find the DocumentBuilder in the menu under Setup » Documents » DocumentBuilder. We recommend that you familiarise yourself with the options offered by the DocumentBuilder at an early stage and do not switch too late.
Can I switch before the EOL date?
Yes, this is actually our recommendation. The earlier you switch, the sooner we can help you if you need support. The closer to the EOL date you switch, the more likely it is that you will have to wait longer for support.
You can switch document types individually. To do this, go to the menu under Setup » Documents » Settings. As soon as you switch a document type, the DocumentBuilder is used – so make sure that you have created a template for this document type beforehand.
As long as the EOL date has not been reached, you can also switch back to the old template and setup in this UI if necessary.
